Appointment reminders

Appointment reminders WhatsApp templates

Appointment reminder templates confirm bookings, remind customers the day before and announce changes. They are Utility templates, so they deliver to US numbers and cost less than Marketing messages. Add Confirm, Reschedule and Cancel quick replies to cut no-shows and free up slots.

Missed appointments cost money. WhatsApp reminders get read, and quick-reply buttons let customers confirm or reschedule in one tap. These Utility templates cover the whole booking lifecycle.

When to send appointment reminders messages

  • Confirmation: immediately after the booking is made.
  • Reminder: 24 hours before, plus an optional two-hour reminder for same-day appointments.
  • Changes: as soon as a time moves. For early-morning appointments, send the reminder the afternoon before rather than at dawn.

Appointment reminders best practices

  1. Send the confirmation immediately after booking and a reminder 24 hours before; add a second same-day reminder only for long or high-value appointments.

  2. Use quick replies like “Yes, I’ll be there” and “I need to reschedule”. A tap opens a 24-hour customer service window to sort out the details.

  3. Keep reminders strictly about the appointment. Adding promotions changes the category to Marketing, which stops delivery to US numbers.

  4. Include the address or a map link and what to bring; it prevents the “where do I park?” replies.

  5. Route Cancel and Reschedule replies to the person who manages the diary, with the booking details visible in Slack or Teams.

More appointment reminders questions

Do appointment reminders need opt-in?

Yes. Collect permission to send WhatsApp updates when the appointment is booked, for example with a checkbox on the booking form, and record it on the contact.

Events & webinars

Events & webinars WhatsApp templates

Event and webinar templates confirm registrations, send reminders and invite people to upcoming sessions. Confirmations and reminders are Utility templates that deliver to US numbers; the webinar invitation is Marketing. A starting-soon reminder with the join link helps more registrants actually show up.

Attendance drops when reminders get lost in email. These templates confirm registrations, remind attendees the day before, send the join link minutes before a webinar and invite new audiences to your next session.

When to send events & webinars messages

  • Registration confirmed: immediately after sign-up.
  • Reminders: the day before and 15 minutes before start time for webinars; one hour before doors open for in-person events.
  • Invitations: two to three weeks ahead, on a Tuesday to Thursday, inside your normal send window.

Events & webinars best practices

  1. Ask for WhatsApp opt-in on your registration form so you can send confirmations and reminders.

  2. The invitation is Marketing; confirmations and reminders to registered attendees are Utility, which costs less and still reaches US numbers.

  3. Send the join link 10 to 15 minutes before a webinar starts, not an hour before.

  4. Put the start time with its time zone in every message (“1 PM ET”) for online events.

  5. Send a follow-up with the recording to registrants who didn’t attend; ask the speaker’s team to answer questions in the chat.

More events & webinars questions

Can I send webinar reminders to US attendees on WhatsApp?

Yes, if they registered. Reminders about an event someone signed up for are Utility templates. The original invitation is Marketing and won’t deliver to US numbers.

How do I build an attendee audience?

Import registrants with their consent status, or create an audience of everyone who replied to your invitation broadcast.

Can attendees ask questions on WhatsApp during the event?

Yes. Replies arrive in your Slack, Teams, Google Chat or web inbox, so a moderator can collect questions and answer logistics while the speaker presents.

Appointment & Event Reminder WhatsApp template FAQs

Practical answers about Appointments & events messages on WhatsApp.

Do WhatsApp appointment reminders work for US customers?
Yes. Appointment confirmations and reminders are Utility templates, which Meta still delivers to US (+1) numbers, as long as they don’t include promotional content.
Can patients or clients reschedule by replying?
Yes. Replies arrive in Slack, Microsoft Teams, Google Chat or the Social Intents inbox. Your front desk can reschedule in the same chat, or an AI chatbot with booking actions can handle it.
How far in advance should appointment reminders be sent?
Twenty-four hours before works for most services because people can still rearrange their day. Add a two-hour reminder for high-value or frequently missed appointments.
How many reminders should I send before a webinar?
Two is usually right: one the day before and one 15 minutes before it starts, with the join link. More than that risks being muted.
How do I use one of these templates in Social Intents?
Click Use this template on any card to start a free trial with that template pre-selected, or copy the text and paste it into Outbound → Templates → New template. Submit it to Meta for approval, then pick it in a WhatsApp broadcast, or use it as a step in a WhatsApp drip campaign.
